Add and Manage Itinerary Items

The Itinerary tab is where your trip comes to life. Add, edit, and reorder the details of each day, see saved venues on a map for each stop, and collapse days or whole stops to keep longer trips manageable. Here's how to use the items, maps, and viewing controls together.

  1. 1

    Understand the four item types

Every item belongs to one of four types. Activity covers sightseeing, tours, walks, and anything recreational. Restaurant is for meals and drinks. Hotel is for accommodation — when you add a hotel item, the app automatically adds an 'Overnight at…' placeholder to every subsequent day until checkout, so your accommodation is always visible in the day plan. Transport is for flights, trains, buses, and other legs you want to record inside a day (for example a morning train that starts your day before activities).

Tip: Use Transport items for journeys within a single day. For road trip logistics across multiple stops, use the Route tab instead.
  2. 2

    Add an item

Expand any day by clicking on it, then click Add item at the bottom of the day. A form slides open. Choose the type from the dropdown, give the item a title, set a time, and optionally add a description and an estimated cost. Click Save and the item appears in the day's timeline, sorted by time.

  3. 3

    Edit an item

Hover over any item row to reveal the edit controls. Click the pencil icon (or click the item title) to open the edit form with the same fields as the add form. Change whatever you need and save. If you've added a booking reference or actual cost after confirming a reservation, this is where you update it.

Tip: For hotel items, click the hotel-specific edit panel to update the check-in date, nightly rate, and booking reference — the app uses those values to calculate accommodation costs across all the nights automatically.
  4. 4

    Set an estimated cost

Each item has an Estimated Cost field. Enter the amount in your preferred currency — the app converts it to your trip's base currency for the day and trip totals. Costs flow through to the Budget tab automatically.

  5. 5

    Add or replace a photo

Items added from AI Suggestions come with a photo attached. For items you add manually, hover over the image area on the item row — a camera icon appears. Click it to upload any image from your computer. If an item already has a photo, hover the image to reveal Replace and Remove controls.

  6. 6

    Reorder items within a day

Grab the grip handle on the left side of any item row and drag it to a new position within the day. The timeline adjusts immediately. Use this to re-sequence activities after you've figured out travel times and opening hours.

Tip: Drag-reorder also works offline — the new order is queued and synced to your teammates as soon as you reconnect.
  7. 7

Leave comments and attach booking documents

Every item has a comment thread and an attachments section. Hover over an item and click the comment icon to leave notes, ask questions, or share a link with travel companions. Click the paperclip icon to attach files — PDFs, booking confirmations, e-tickets — so they're always alongside the relevant item rather than buried in email.

Tip: Comments are visible to all trip members in real time. Use them to flag questions (e.g. 'Does this restaurant take reservations?') and keep the answers in one place.
  8. 8

    Delete an item

Hover over the item row and click the trash icon on the right. The item is removed immediately. For hotel items that span multiple nights, deleting the main hotel item also removes the overnight placeholders on subsequent days.

  9. 9

Open a map for your stop

In the Itinerary tab, find Maps by stop and click Show map. Use the Stop dropdown to choose a destination; only itinerary places for that city and country are shown, not the entire trip. Add destinations in the Route tab if you have no stops yet. Click Hide map when you want to return to a compact itinerary view.

  10. 10

Find hotels, restaurants, and activities on the map

Hotels use purple markers, restaurants orange, and activities teal. Use the category buttons, day dropdown, or search field to narrow the places shown. Click a place in the list to focus its marker, or click a marker to see its details. Repeated visits at the same location can share a marker. Transport items and notes are not venue pins. Locations are search matches and may be approximate, so confirm the address before travelling.

  11. 11

Understand places without a map match

Items that could not be located stay visible in the map's unlocated list. No map match found means no sufficiently reliable location was found; lookup unavailable means the location service could not complete the search. Edit the item's title to include a specific venue name and street address, with the correct city and country on its itinerary day. Event titles can include both an event name and its venue address. Generic entries such as Lunch or Free time may have no pin; the app does not substitute a city-center location. Use an internet connection for location lookups and loading map tiles.

  12. 12

Collapse and expand days or whole stops

In the Itinerary tab, set Collapse by to Day or Stop. Click a day or stop heading to hide or reveal its itinerary items, or use Collapse all and Expand all for the selected grouping. Stop grouping combines consecutive days at the same destination; returning there later creates a separate section. Your grouping and collapsed sections are remembered for this trip in your browser and do not change a collaborator's view. Collapsing hides content without deleting it, and printed itineraries and complete itinerary PDF exports still include every day.
